Document Process Automation

Document process automation extracts information from incoming documents such as invoices, forms and contracts, validates it and routes it into your systems, with people reviewing exceptions. Renvric designs these flows to be measurable and auditable, so accuracy is known rather than assumed.

01

The manual cost of paper-shaped work

In many finance, claims and onboarding teams, staff open attachments, read figures, and type them into another system. It is slow, tedious and error-prone, and the delay compounds when documents arrive in many layouts. Automation can take over the reading and routing, but only if the process around it is designed for the cases it will get wrong.

02

Signs a process is ready for automation

  • High volume of similar documents arriving each day or week.
  • Staff mostly copy data rather than make decisions.
  • Errors are found late, at payment or audit.
  • Turnaround depends on who is in the office.
  • The rules for acceptance can be written down.

Target outcomes for document process automation

01

Straight-through handling

Clean documents processed without human touch.

02

Visible exceptions

Unclear items queued for review with the reason stated.

03

Accurate downstream data

Validation against master data before posting.

04

Traceability

Every extracted value linked to its source document.

How the technology fits together

Capture brings in email, scans and uploads. Classification identifies the document type. Extraction uses template rules, trained models or both, to read fields and tables. Validation checks values against purchase orders, supplier records or business rules. Confidence scores decide whether an item passes automatically or goes to a person. The choice between fixed templates and learning models depends on how varied your documents are; a handful of stable formats rarely justifies a heavy model.

05

Components

  • Intake channels: mailbox monitoring, portal upload, scanner and API.
  • Pre-processing for image quality, orientation and splitting of batches.
  • Extraction and classification engines with confidence reporting.
  • Validation rules and matching, such as three-way match for invoices.
  • A review workspace showing the document beside extracted fields.
  • Integration with ERP, case management or document repository, plus audit logging.
06

A reference workflow

Consider an accounts team receiving supplier invoices as PDFs. Each is read, matched to a purchase order and a goods receipt, and posted if totals agree within a tolerance. A mismatch is routed to the buyer with the discrepancy highlighted. Corrections made by reviewers are fed back so recurring supplier layouts improve over time.

Implementation phases for document process automation

Sample and baseline

Collect representative documents, including poor ones, and measure current effort and error rates.

Prototype

Test extraction on real samples and report field-level accuracy.

Build workflow

Add validation, review queues and integrations.

Parallel run

Process alongside the manual route and compare results.

Go live and tune

Switch over with monitoring and a regular accuracy review.

Common questions

It removes manual reading and retyping from document-heavy processes such as invoice handling, claims intake and onboarding. Data reaches your systems faster and more consistently, while staff concentrate on exceptions and decisions.

Document intake, classification, data extraction, validation against master data, exception review, workflow routing, integration with core systems, audit trails and accuracy monitoring. Reporting on accuracy by field and by supplier or form type shows where tuning is needed, and a review workspace keeps people in control of exceptions.

By collecting real samples, measuring volumes and handling times, mapping the steps and decisions, and noting document variety and quality. Field-level accuracy is then tested on the samples before any commitment is made.

Poor scan quality, high document variety, over-trusting confidence scores, data privacy and hidden business rules. Mitigations are representative sampling, exception queues, parallel running, agreed tolerances and data handling terms. Reviewers should be trained to check fields rather than skim, since a reviewer who always accepts the suggestion silently removes the safeguard the design depends on.

By straight-through rate, field-level accuracy, handling time per document, exception volume and error rates found after posting. Each is compared with the manual baseline measured at the start. Regular sampling of auto-processed items by a person confirms that speed is not hiding quiet errors, and tolerances can be adjusted as confidence grows.

Controls and decisions

01

Documents often contain personal or financial data, so access, retention and any use of external processing services should be agreed in advance. Set tolerance thresholds with finance or compliance owners, define who clears exceptions, and decide which accuracy level makes straight-through posting acceptable.
