Sales Process Automation

Sales process automation shortens the path from enquiry to signed deal by making routing, follow-up, quoting and approvals consistent. Renvric works with sales and finance owners to encode how deals really move, then connects the CRM, quoting and contract tools so reps spend their time selling.

01

Where selling time goes

Sales teams often spend a large share of the week on admin: updating the CRM, building quotes, hunting for approvals and chasing documents. Leads sit unassigned over a weekend, follow-ups depend on memory, and forecasts are assembled by hand from rep opinions.

For example, a software reseller may take a discount request by email, wait a day for a manager, then rebuild the quote in a document. The prospect meanwhile speaks to a competitor.

Target outcomes you can check

01

Faster response

New leads are assigned and acknowledged by rule, with reminders when a response is overdue.

02

Consistent pipeline

Stages have entry criteria, so a forecast reflects evidence rather than optimism.

03

Quicker quotes

Standard quotes are generated from product and price data, with approvals only where policy requires.

04

Cleaner data

Records are enriched and deduplicated, so reporting stops depending on a monthly clean-up.

03

What can be automated

  • Lead capture from forms, events and partners, with duplicate matching against existing accounts.
  • Routing by territory, segment, product interest or capacity, with round-robin fallback.
  • Follow-up tasks and sequences triggered by stage changes or inactivity.
  • Quote and proposal generation from approved price books and templates.
  • Discount and terms approvals routed by value, margin and customer type.
  • Handover from closed-won deals to onboarding, billing and customer success.

04

What should stay human

Qualification conversations, negotiation, relationship building and decisions on unusual terms are not suitable for automation. Sequences that look personal but are plainly generic can damage trust, so Renvric designs automated messages as prompts and drafts for the rep, unless the message is purely transactional.

The aim is to remove the clerical work around a sale, not the sale itself.

How Renvric approaches sales automation

Map the real pipeline

Interview reps, managers and finance, and compare the written process with CRM history.

Define stages and rules

Agree entry and exit criteria, routing logic, approval thresholds and field ownership.

Connect the tools

Link CRM, quoting, e-signature, billing and marketing platforms using their supported interfaces.

Pilot with one team

Release to a single team, collect friction points weekly and adjust rules.

Train and roll out

Short, role-specific sessions, then extend to remaining teams with reports to track adoption.

06

Technology choices

Many organisations already own a CRM with workflow features, and configuring it is usually cheaper than building. Custom services make sense where pricing logic is complex, several systems must stay consistent, or approvals cross legal and finance boundaries. A common compromise is to keep the CRM as the record and place pricing and approval logic in a small service it calls.

Integration reliability matters more than the tool brand, so retry behaviour and failure alerts are specified up front.

07

Controls and reporting

  • Discount authority is enforced in the system, not by convention.
  • Every quote version and approval is recorded with time and approver.
  • Field-level permissions protect margin and cost data from users who do not need it.
  • Pipeline reports show conversion between stages and age in stage, to expose bottlenecks.
  • Data quality rules flag missing contacts, stale opportunities and duplicate accounts.

Common questions

It removes delay and inconsistency between enquiry and signed deal: leads left unassigned, follow-ups forgotten, slow quotes and approvals that wait in inboxes. Automation makes the routine steps happen on time, so reps spend more of their day in conversations with buyers.

Lead capture and routing, pipeline stage rules, task and sequence automation, quote and proposal generation, approval workflows, e-signature, billing and onboarding handover, data enrichment, and reporting. They are usually delivered by configuring the CRM and connecting it to adjacent tools.

Renvric reviews the documented sales process, interviews reps and managers, and examines recent CRM records for stage ageing, missing fields and lost-deal reasons. The gap between how selling is described and how it happens is where the most useful automation is usually found.

Encoding a process nobody follows, low rep adoption, over-automated messaging that feels impersonal, brittle integrations, and approvals that become bottlenecks. Mitigations include involving reps early, piloting with one team, keeping messages as drafts, and monitoring integrations.

Typical measures are lead response time, time from opportunity to quote, quote-to-close rate, approval turnaround, data completeness and forecast accuracy. Baselines are taken from current CRM data before changes, so improvement is compared with the real starting point.

01

Bring your current stage definitions, a sample of recent deals, and your discount policy. A workshop can usually turn these into a ranked set of automations and a pilot scope.
