Operations Automation

Operations automation removes the handoffs, re-keying and chasing that slow a business down, without automating a process that is itself broken. Renvric starts by mapping how work really flows, then automates the steps where rules are clear, volumes justify it and exceptions have a human owner.

01

The hidden cost of manual operations

Operational work often runs on inboxes, spreadsheets and individual memory. Orders are re-keyed between systems, approvals wait in someone's email, and status questions consume as much time as the work itself. None of this appears as a line in a budget, which is why it persists.

Consider a distributor whose order desk copies purchase orders from email into an ERP, then updates a separate delivery spreadsheet. A single mistyped code causes a wrong shipment and a day of correction. The cost is real but spread thinly across many people.

02

Choosing what to automate first

  • High volume and repetitive: the same steps done many times a week.
  • Rule-based: a new colleague could follow written instructions to complete it.
  • Error-prone: mistakes currently cause rework, returns or financial corrections.
  • Cross-system: staff act as the connector between two applications.
  • Time-sensitive: delay has a visible customer or cash-flow effect.
  • Stable: the process is unlikely to be redesigned within the year.
03

What stays with people

Automation works best when it handles the routine path and routes everything else to a person with context. Unusual requests, judgement calls, customer disputes and approvals above a threshold remain human decisions. The design goal is fewer interruptions for staff, not an unattended black box.

Renvric defines for each automated step what counts as an exception, who receives it, how quickly, and what they can see when it arrives.

Components of an automation programme

01

Process map

A documented view of current steps, owners, systems, volumes and delay points.

02

Rules and decision logic

Explicit conditions for routing, approval, validation and escalation, held where operations staff can read them.

03

Integration layer

Connections to ERP, CRM, finance, warehouse and messaging systems through APIs, file exchange or event feeds.

04

Robotic or scripted steps

Used for systems with no interface, with a plan to replace them as vendors add APIs.

05

Monitoring and audit

Run logs, failure alerts, retry rules and a record of who or what changed each item.

How an automated order flow might work

An order arrives by email, portal or file. The system extracts the fields, validates customer, items and price against master data, and creates the order in the ERP. Clean orders proceed to fulfilment; mismatches go to a queue showing the specific problem, so the order desk resolves a flagged line rather than retyping the order.

Confirmations and status updates are sent automatically, and every step carries a timestamp so delays can be traced to a stage.

Implementation phases for a pilot-led build

Process discovery

Observe the work, gather volumes and exception rates, and shortlist candidates by value and difficulty.

Pilot automation

Automate one process end to end with the people who run it, and measure against its baseline.

Controlled rollout

Extend to further teams or sites, with training and a clear route for reporting problems.

Operate and monitor

Track run health, exception queues and rule changes, with support arrangements agreed in the contract.

Next candidates

Reprioritise the backlog using what the pilot taught about effort and benefit.

07

Governance and control

  • Every automated rule has a named business owner and a change history.
  • Changes are tested against sample cases before they reach live processing.
  • Credentials for connected systems are held in a managed secret store and rotated.
  • Segregation of duties is preserved: the automation cannot approve what it creates.
  • A manual fallback is documented for each process in case a connected system is unavailable.

Common questions

It removes repetitive manual handling such as re-keying, chasing approvals and reconciling spreadsheets. The result is fewer errors, faster cycle times and staff time returned to work that needs judgement. It is most useful where volume is high and the rules can be written down.

Process analysis, business rules, integration with existing systems, scripted or robotic steps for systems without APIs, exception queues, notifications, and monitoring with audit trails. Low-code workflow tools or custom services may be used, depending on volume, security needs and who will maintain the result.

Renvric observes the work as it is done, not only as documented, and records steps, systems touched, volumes, handling time and error causes. Interviews with the people doing the work usually reveal workarounds that process charts miss, and those shape what is worth automating.

Automating a poor process, brittle connections to systems that change, hidden exceptions, and staff who feel the change is imposed on them. Mitigations include simplifying first, monitoring integrations, designing exception paths early and involving the operators from the first workshop.

Against a baseline taken before the change: handling time per item, error and rework rates, cycle time, backlog age and exception volume. Where time is saved, the plan should state how it will be redeployed, so the benefit is realised rather than assumed.

01

Ask any provider how it handles a system change that breaks an integration, who is alerted, and how long a process can run manually. Ask also how benefit will be measured, because hours saved only count if the time is redeployed.

02

A short assessment typically ends with a ranked list, a pilot scope and agreed acceptance criteria.
