ERP Integration

ERP integration is mostly an exercise in agreeing what is true: which system owns a customer, a price, a stock level or a posting period. Renvric connects ERP platforms to commerce, CRM, warehouse and finance tools through interfaces designed for failure, reconciliation and change.

01

Why ERP integrations go wrong

Most troubled integrations were not caused by a poor connector. They came from unresolved questions: two systems both believing they own the customer record, order statuses that mean different things on each side, or an upgrade to one platform that quietly changed a field. The technology is the easy part once those questions have answers.

Renvric therefore starts with the business objects and the events that move them, and only then chooses transport, tooling and error handling.

02

Typical scenarios

  • A web shop must pass orders to the ERP and receive stock levels, prices and shipment updates back.
  • A CRM needs accounts, contracts and invoice status from finance without sales staff re-keying anything.
  • A warehouse management or transport system exchanges pick, pack and dispatch confirmations with the ERP.
  • Two ERP instances, perhaps after an acquisition, need consolidated reporting before a full migration is feasible.
  • A supplier or customer portal needs controlled, read-mostly access to ERP data through a safe interface.
  • An ageing point-to-point integration needs replacing before an ERP upgrade or cloud migration.

Integration patterns and when each fits

01

Vendor APIs

Best where the ERP exposes stable, documented, rate-limited services. Watch for versioning and for limits on bulk operations.

02

Message queues and events

Suit high-volume or asynchronous flows such as order and stock updates, because they absorb spikes and allow replay.

03

Scheduled file or batch exchange

Still common and acceptable for nightly financial postings, provided file formats, naming and failure handling are explicit.

04

Integration platform or middleware

Worthwhile when many systems connect, because mapping, monitoring and credentials live in one governed place.

05

Direct database access

Usually the last resort: it bypasses business logic and ties you to the schema, and vendors often disallow it.

04

Designing for the day something fails

Consider a retailer whose web shop sends an order while the ERP is in a maintenance window. A fragile design drops the order or posts it twice when retried. A sound design queues the message, retries with back-off, uses an idempotency key so repeat delivery does no harm, and raises an alert if the backlog exceeds an agreed threshold.

Those behaviours are specified up front: what is retried, what is parked for human review, who is notified and how a corrected record is replayed.

05

Deliverables

  • A data ownership matrix naming the system of record for each business object and field group.
  • Interface specifications with field mappings, transformation rules, error codes and volumes.
  • Working integrations with automated tests against a sandbox or recorded sample payloads.
  • Monitoring for queue depth, failed messages and reconciliation differences, with alert routes.
  • A reconciliation routine or report that proves both sides agree at the end of a period.
  • Runbooks covering replay, credential rotation and upgrade testing.

Phases from mapping to cut-over

01

Discover

Inventory systems, interfaces, owners and volumes; capture current manual workarounds.

02

Model

Agree objects, identifiers, statuses and ownership with business and finance stakeholders.

03

Build

Implement interfaces in thin slices, starting with the flow carrying the most risk.

04

Prove

Run parallel or shadow operation, reconcile, and rehearse failure and cut-over.

05

Operate

Hand over monitoring and runbooks, then review after the first period close.

07

Security and change control

Credentials are held in a secrets manager, scoped to the minimum rights each interface needs, and rotated on a schedule you control. Personal and financial data is minimised in transit and logs. ERP vendors release updates on their own timetable, so regression tests for each interface are kept ready to run against upgrade candidates before they reach production.

Common questions

Scope usually covers a data ownership matrix, interface design, build, testing against sandbox data, error handling and replay, monitoring, reconciliation reporting and runbooks. Licences for middleware or the ERP's own connectors are normally separate. The written scope lists each flow and its acceptance criteria.

It suits organisations whose ERP must exchange data with commerce, CRM, warehouse, logistics or finance tools, and those preparing an ERP upgrade or consolidation. It is a poor fit if the real need is selecting or implementing a new ERP, which is a separate programme.

The main factors are the number of flows, the quality of the ERP's interfaces and the availability of people who can confirm business rules. Renvric agrees a timeline in writing after mapping, and usually sequences work so the highest-value flow reaches testing first.

Cost follows the number of interfaces, the volume and latency each needs, the maturity of the ERP's APIs, how much data cleansing is required, the testing environments available and the monitoring depth you want. Middleware licences and ERP vendor fees are usually separate lines.

By agreeing data ownership early, designing for retries and duplicates, testing with realistic payloads, running reconciliation in parallel before cut-over, and rehearsing rollback. Each interface has an owner, alert route and runbook, so problems are found by monitoring rather than by month-end surprises.

What to bring to a mapping workshop

01

Useful inputs are the ERP product and version, a list of connected systems, sample documents such as an order or invoice, known pain points and who in finance or operations can confirm field meanings. A short mapping workshop with those people is often the quickest way to a credible plan and estimate.
