Zoho Consulting

Zoho consulting from Renvric answers three questions before money is committed: does Zoho fit your processes, which applications and editions are worth adopting, and how should they be structured so the system stays maintainable. You receive a written fit-gap, an architecture recommendation and a prioritised roadmap, not a sales pitch for more licences.

01

What a Zoho assessment examines

An assessment starts with how work actually moves through the business, not with product menus. We interview the people who qualify leads, raise quotes, issue invoices and resolve tickets, and we look at the spreadsheets and inboxes that currently hold the real process. From that we establish which records matter, who owns them, which decisions need approval and which reports leaders rely on.

Only then do we test Zoho applications against that picture. This order prevents the common mistake of reshaping a business around whatever the demo environment showed first.

02

Fit-gap, scored honestly

  • Each requirement is rated as met by standard configuration, met by Deluge or a Creator build, met by a marketplace extension, or not met.
  • Requirements that need heavy scripting are flagged, because scripted behaviour carries a maintenance cost.
  • Reporting needs are checked against what Zoho Analytics can reach, including data held outside Zoho.
  • Regional tax, invoicing and data-residency requirements are listed for confirmation with the vendor and your adviser.
  • Gaps are accompanied by options, including changing the process, accepting a manual step or choosing another tool.
03

Editions, bundles and licensing guidance

Zoho sells applications individually and as the Zoho One suite, and editions within each application enable different limits and features. We help you work out which features you depend on, how many users need which access and whether sandbox, API and automation allowances fit your volumes. We never quote prices; current terms, limits and regional availability should always be confirmed directly with the vendor before you commit.

Architecture decisions we help settle

01

CRM or Creator

Whether a requirement belongs as a custom module in CRM or deserves its own Creator application, based on how much it relates to sales records.

02

Books or your ERP

Whether Zoho Books should be the ledger, or whether invoices should flow from another system of record.

03

In-platform or external logic

Which behaviour lives in Deluge functions and workflows and which belongs in middleware or a small service.

04

Data model and permissions

Fields, lookups, profiles and roles designed so reporting stays clean and sharing rules stay explainable.

05

Integration pattern

Native connectors, Zoho Flow, webhooks or APIs, chosen per system according to volume and failure handling.

05

An illustrative scenario

Consider a distributor whose reps keep customer notes in spreadsheets, whose finance team raises invoices in a separate package, and whose managers want a weekly view of quoted versus invoiced value. A useful assessment might conclude that CRM with a quote template covers the sales side, Books suits the invoicing, and a single Analytics workspace answers the weekly question, while a bespoke approval for large discounts is a small Creator application. The roadmap would then sequence CRM first because everything else depends on clean account records.

06

What you receive

  • A current-state process map and a list of the people and systems involved.
  • A scored fit-gap register with the reasoning behind each rating.
  • A recommended application and edition set with the assumptions behind it.
  • A target architecture showing data flows, integrations and ownership.
  • A risk register covering data quality, adoption, scripting debt and vendor limits.
  • A phased roadmap with dependencies, outline effort ranges and decision points.
07

Governance after the recommendation

A recommendation is only useful if it survives contact with the team. We agree who owns each application, how changes are requested and approved, how custom functions are documented and how new Zoho applications are added to the estate. For clients who want continuing oversight, a light review at each stage of delivery keeps the design intact. This pairs naturally with project-based development, where the consulting output becomes the written scope.

Common questions

It includes process discovery, a fit-gap against Zoho CRM, Creator, Books, Desk and Analytics as relevant, edition and licensing guidance, an architecture and integration design, a risk register and a phased roadmap. Optional extras are a data quality review, a security and permissions review and a review of an existing Deluge codebase.

We list your requirements in business terms, rate each against standard features, scripting, extensions or no coverage, and weigh the maintenance cost of anything custom. We also test volume, reporting, regional and integration needs. If another tool serves a requirement better, the assessment says so and explains why.

You receive written documents you own: process map, fit-gap register, recommended applications and editions, architecture diagrams, risks and a phased roadmap. We walk your team through them and answer questions. You can use them to brief another supplier or ask Renvric to deliver.

The main drivers are the number of processes and departments in scope, how many Zoho applications are being considered, the number of integrations, the quality of existing documentation and data, and how many stakeholders must be interviewed. A fixed-scope assessment is usually agreed after a short conversation.

Yes, and it often does, because the roadmap becomes the scope for delivery. There is no obligation, though. The deliverables are written to stand alone, so you can implement in-house, tender the work or continue with Renvric under a project-based arrangement with the same acceptance criteria.
